How to Add Social Icons to Your Outlook Email Signature

Adding social icons to your Outlook email signature can greatly improve your professional image and make it easier for your recipients to connect with you on social media.

By including links to your social media profiles, you can increase your online presence and drive more traffic to your profiles, ultimately leading to increased engagement and more opportunities for networking and building relationships.

In this article, we will provide a step-by-step guide for easily adding social media icons to your Outlook email signature.

Before Starting

Before adding social icons to your Outlook email signature, you will first need to download the icons you require. These icons are small images that represent popular social media platforms, such as Facebook, Twitter, and Instagram.

In order for your social icon images to be mobile optimized, the images should be scaled down to about 1/3 of the actual size as this allows for mobile display scaling. However, this can only be done by either changing the height and width of the rendered image in the HTML file of the email signature or by using Gimmio to create your email signature.

Before following the instructions below, you should first resize the downloaded social icon images to be the same size as the rest of the icons in your email signature.

How to Add Social Icons in Outlook (Windows)

To add social icons to an email signature in Outlook (2013, 2016, 2019, 2021), follow these steps:

Step 1

Open Outlook and go to the “File” menu and click on “Options”.

Select “Mail” from the list on the left.

Under the “Compose messages” section, click on “Signatures”.

Step 3

In the Signatures and Stationery window, select the signature that you want to edit.

In the signature editing area, click on the area where you want to add your social icons and then click on the “Insert Picture” icon at the top.

Step 4

Find the social icon image file on your computer and click on Insert.

Note: Ensure you have resized the social icon to the correct size before inserting it into the signature, as images cannot be resized once they have been inserted.

Step 5

Once you’ve added the social icon to your email signature, you can add a hyperlink to it by clicking on it, and then clicking the “Insert Hyperlink” button in the top toolbar.

Step 6

In the Insert Hyperlink window that pops up, type or paste the web address that you want the social icon to link to in the “Address” field. For social icons, this is usually the link to your social profile (eg. https://www.facebook.com/<your-profile>)

Click “OK” to add the hyperlink to your social icon.

Step 7

Repeat steps 3-6 for every social icon you wish to add to your email signature.

When you’re finished, click “OK” to close the Signatures and Stationery window, and also the Outlook Options window to save your changes.

How to Add Social Icons in Outlook for Mac

To add social icons to an email signature in Outlook for Mac (2011, 2016, 2019, 2021), follow these steps:

Step 1

Open Outlook and go to the “Outlook” menu at the top and click on “Preferences”.

From the list, under the Email section, select “Signatures”.

In the Signatures window, select the signature that you want to edit and click on the “Edit” button.

In the signature editing window, click on the area where you want to add your social icons and click on “Pictures” in the top toolbar and then select “Picture from File” to pick an image from your computer.

In the window that pops up, find your social icon image and click “Insert”.

Adjust the size and position of the icon as required by using the drag handles.

Once you’ve adjusted the social icon, you can add a hyperlink to it by clicking on it, and then clicking the “Link” button in the top toolbar.

In the Link window that pops up, type or paste the web address that you want the social icon to link to in the “Address” field. For social icons, this is usually the link to your social profile (eg. https://www.facebook.com/<your-profile>)

Click “OK” to add the hyperlink to your social icon.

Repeat steps 4-6 for every social icon you wish to add to your email signature.

Once done, close the signature editing window and click “Save” for the pop-up prompt. Also, close the Signatures and Outlook Preferences windows.

How to Add Social Icons in Outlook App (iOS – iPhone/iPad)

Although you can add images (such as social icons) in the Outlook app for iOS, it is currently not possible to add hyperlinks to images. This means it would be impossible to link your social icon to your desired social platform.

In cases like these, we recommend using Gimmio to create your email signature which will allow you to have fully functional social icons in your Outlook app for iOS.

How to Add Social Icons in Outlook App (Android)

Although you can add images (such as social icons) in the Outlook app for Android, it is currently not possible to add hyperlinks to images. This means it would be impossible to link your social icon to your desired social platform.

How to Add Social Icons in Outlook.com / Office 365

To add social icons to an email signature in Outlook.com / Office 365, follow these steps:

Step 1

Log into your Outlook.com / Office 365 email account using a web browser.

At the top right, click the settings icon. In the search section, type in “Email Signature” and click on the first result.

Step 2

In the signature editing area, click on the area where you want to add your social icons and then click on the “Insert pictures inline” button in the bottom toolbar.

Step 3

Browse for the social icon image file on your computer and select it, and then click “Open” to add it to your signature.

To add a hyperlink to your new social icon, simply select/highlight it and then click on the “Insert link” button in the bottom toolbar.

Repeat steps 2-5 for every social icon you wish to add to your email signature.

Once done, click “Save” at the bottom of the Settings window.
